How To Write More Professionally

Almost every one of us at one point in our life or the other has to write something. It could be writing for your pleasure, penning your thoughts, academic writing or it could be related to your job, writing professional emails, newsletters, etc.

Everyone goes through writer’s block at times especially if you are writing for professional purposes, your mind goes blank and you don’t know where to start or how to start. Here are a few tips that might help you with your writing.

Know your topic

Before beginning your piece of writing do thorough research on the topic you’ve been given. Have your facts ready and at an arm’s length for reference. You should be aware of the point of your writing. Are you writing, •To pass information of some kind.
•To raise awareness.
•A business email.
•A newsletter.

If you know the purpose of your writing, and the topic you are writing on, it gets easier to stay focused. Write to the point and avoid lengthy meaningless content.

Who are you writing for?

Keep in mind who your audience is, who will be reading your piece of work, and write accordingly. Is your audience: •Highly educated?
•Can barely read?

The requirement of your readers should determine the style, content and the language of your writing.

Use simple language

Try to use simple and easily understandable language. Your piece of work should be understood by the masses. Avoid using fancy words, you might end up using them incorrectly

Do not use metaphors. Be as simple and to the point as possible. Do not add extra information since no one likes to waste too much time on irrelevant details. Your choice of words should depend on who you are writing for.

If you are writing to a friend the tone of your words can be casual but if you are sending a business email you should be more careful with your choice of words. Do not use words just to impress your recipient, if used incorrectly you can end up making a fool out of yourself.

Create an outline

On a separate sheet of paper create an outline of everything that needs to be covered in your piece of writing. This will help you get organized and you can always check if you have missed out on anything. In your outline, you can also plan a proper introduction and conclusion to your topic.

Double check your work

Always recheck your piece of work. Apart from spell-checking and grammar-check, you should also check for missing words. Make sure you have not used any slangs. Look for any extra information that can be removed. Last but not least you need to make sure if your writing has fulfilled the purpose for which you started to write in the first place.
